Grant Accounting Manager

The Grant Accounting Manager will work closely with Regional Controllers, the Director, Financial Analysis and Budgeting and the Chief Financial Officer as well as the Grants Unit within the AFSC Development Department. The work of the Grant Accounting Manager will support grant budget submissions, grant budget revisions and post-award grant monitoring and internal and funder-required reporting. The Grants Unit is currently responsible for a portfolio of approximately 100 domestic and international grants, amounting to approximately $5 million annually.
Under the supervision of the Director, Financial Analysis and Budgeting, the Grant Accounting Manager works with Regional Controllers, support units, and program units across the organization to ensure compliance with AFSC’s grant submission practices and processes and post-award financial monitoring, reporting and compliance.
- Building, Maintaining and Enhancing Grant Budget Templates
Work closely to understand:
- The AFSC’s budgeting guidelines and processes.
- The budget submission and reporting requirements of major funders.
- Using Excel and other appropriate software, build, maintain and improve a universal grant budget template.
- Develop a viable crosswalk to enable grant budget data to be efficiently and effectively translated into funder-specific reporting formats Actively participate in grant planning meetings as well as post-award meetings.
- Ensure grant budgets are properly structured to reflect any funder-required financial participation by the AFSC in a successful grant submission.
- Work closely with the Grants Unit and the Regional Controllers to ensure and grant proposal pipeline can be adequately supported and grant reporting deadlines are met.
Financial Monitoring and Coordination
- Coordinate grant award allocation, distribution, and internal characterization in coordination with staff in Finance and Development Departments. Ensure grant receipts are identified, allocated and recorded in accordance with approved terms.
- Ensure grant cash receipts are properly recorded and grant income is timely and appropriately recognized according to the grant award.
- Support analysis for program-specific revenue recognition projections as well as the proper recording of all matching financial commitments for the AFSC.
- Acquire financial data from program staff and analyze program spending and projections for the preparation and submission of required Requests for Transfers of Funds on grant awards.
- Support timely dissemination of internal grant monitoring reports to organizational stakeholders.
- Support maintaining and improving the grant income quality and efficiency indices. During the year, monitor activity on the accounts receivable and consult with Finance staff to determine any necessary corrections to payment allocations.
- Support the annual Audited Financial Statement process and grant audit process, where required by funders. Be available for questions concerning receivables and related income matters and provide source documentation as required.
- Bachelor’s degree in Accounting or Finance or equivalent work experience.
- Five or more years’ experience in nonprofit accounting with heavy concentration on grant submissions and post-award monitoring and reporting, or a minimum five years equivalent experience.

- Excellent interpersonal and communication skills: comfortable speaking and presenting in a group setting;
- Ability to understand and interpret financial reports, analyze financial data for monitoring adherence to AFSC and funder-specified guidelines;
- Solid organizational skills and the ability to work productively in a fast-paced environment, meet deadlines, and the ability to prioritize a multi-faceted workload under strict deadlines, sometimes with limited guidance;
- Flexibility, patience, and the ability to work productively in a team environment and independently, and the willingness to meet unexpected demands with a positive attitude;
- Excellent computer skills, preferably Microsoft Office (Word, Outlook, and Excel in particular);
- Demonstrated experience in database management desired, Salesforce experience preferred. Knowledge of similar database software desirable;
- Attentiveness to detail and accuracy in budgeting, accounting, reporting, and writing;
- Ability to act with sensitivity and discretion while working with highly confidential information;
- Ability to work cooperatively with committees and staff, and in an organization, that is characterized by a high level of consultation in which consensus is the formal process for reaching decisions;

Compensation: Salary Range starts at $54,416 – Full-Time, Exempt – Comprehensive medical and hospitalization plan; term life, accident and salary continuation insurances, defined benefit pension plan, plus fringe benefits; participation in unemployment and worker’s compensation and social security.
