JoB Description

The Executive Assistant supports the Executive Director, the housing team, and is the first point of contact for clients, donors, and visitors. Responsibilities involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion and judgment. Assumes responsibility for special projects; attends board or similar meetings to take and distribute minutes; prepares board packets; maintains databases; researches/analyzes data and develops reports for management decision-making; may follow-up on projects assigned to managers by senior executive.



  • Executive Support
    • Manage Executive Director’s calendar and correspondence
    • Compile monthly reporting and send to Board of Trustees
    • Maintain agency documents
    • Manage all repair/maintenance requests
  • Routine Maintenance
    • Inventory and order office, bathroom and break room supplies
    • Manage trash and snow removal for 128 and 113
    • Manage heating, plumbing, electric and interior repairs to 113
    • Manage all repair/maintenance requests
  • Systems
    • Maintain and troubleshoot postage machine, fax machine and copier
    • Set up new employees on computer and phone systems
    • Train new employees on all systems
  • Support Housing Team
    • Act as site administrator for CCCIMS
    • Maintains spreadsheets for housing programs (for reporting and invoicing purposes)
    • Creates and compiles monthly invoicing for Chester County Contracts
  • Additonal Duties
    • Attend staff meetings, take notes and write minutes
    • Attend Board meetings, take notes, and write minutes
    • Assists with all agency events




  • Bachelor’s degree preferred
  • Minimum of three years experience in professional office
  • Proficiency in Microsoft Office applications
  • Excellent writing, communication, organizational and interpersonal skills

Whither Goest Our Moral Imperative?
